Time Slots and Reservations

In a Nutshell

The Time Slots tab is used to create and manage the different absence and reservation types that can then be applied to the Planning Board in order to accurately reflect current employee availability.


Access

The Time Slots screen is accessed from the Workforce Management Settings:




Permissions

In order to create and manage reservation and absence time slots, you must have CREATE, READ, UPDATE, and DELETE permissions on the Employee Reservation Type and Worktime business objects.

Creating Time Slots

Create Time Slot
Reservation and absence time slots are created in the Time Slots tab in the Workforce Management settings.
Create New Reservation
Reservation and absence time slots can then be applied to a employee by creating a new task on the Planning Board of the Workforce Management app.
Planning Board
Once the reservation or absence has been assigned to the employee, the employee schedule will be blocked out for the length of time specified in the new task. If the reservation or absence is "exclusive," no assignments can be dragged and dropped onto the employee's schedule.

A Closer Look


Time Slot


There are two types of time slots:





Time Slot Type Description
Reservation Types Used for scenarios such as training or certification, in which the employee is working but cannot be assigned to an activity.
Absence Types Used for scenarios such as holiday, sick leave, etc, in which the employee is not working and cannot be assigned to an activity.


New Reservation


After a time slot record has been created it can then be applied when necessary to a employee by right-clicking on the employee schedule.

The application will then display a New Reservation dialog:




Field Description
Title If applicable, the title of the reservation type. This will display on the Planning Board.
Customer If applicable, the customer associated with the employee reservation.
Type Required. Select either a reservation or absence type from the list of values. Both reservations and absence types are created and managed in the Time Slots tab of the Workforce Management Settings.
More
Exclusive Reservation Important. If active, no activities can be assigned to the employee with the reservation/absence.
Whole Day Indicator. Used to indicate that the reservation or absence type is valid for the whole day. When not active, beginning and end times must be entered in the fields below.
From Required. When the Whole Day indicator is not active, the beginning date/time of the reservation or absence.
To Required. When the Whole Day indicator is not active, the ending date/time of the reservation or absence.

Planning Board


After a time slot has been created and applied to an employee, it will then display on the Planning Board along with the following information:





Field Description
Name The name of the reservation/absence. This is entered in the Name field in the New Task dialog.
Date The date/time of the reservation/absence. If the Whole Day slider is active, it will reflect the entire day. If not, it will display the from and to date/times entered.
Time Slot The selected reservation or absence type. Reservation and absence types are managed in the Time Slots tab in the Workforce Management Settings.

When the reservation Exclusive Reservation setting has been set to active, no activities can be assigned to the employee:





The following message will be displayed: Not allowed. The dropped activity is overlapping an exclusive reservation.


Changing Reservation Type Color

The color of reservation type can be set and managed in the Reservation Types section of the Workforce Management General Settings.



The reservation or absence type will then display the color on the Planning Board:
