In a Nutshell

Permissions are used throughout Coresystems Field Service Management to customize application behavior. There are three essential components which compose permissions in Field Service Management:

Component Description
Users An account can consist of multiple users. Users refer to anyone with a login to Coresystems Field Service Management.
Companies A company is a grouping of users. “Company” can reflect an actual company, or a department or branch within a company.
Permission Groups Permission groups are then applied to companies and represent different roles or levels of access that you wish to provide different users within a company.

The following diagram is a representation of the relation between users, companies, and permission groups:


Permission Management Workflow

Create Company
After creating an account, you will then create a company.
Create User
Following the creation of a company, you will then create users which will be associated with the company.
Create Permission Group
In addition to the prebuilt permission groups, you can also create new permission groups to customize application behavior for your users.
Select Business Object
After you have your permission groups in order, you will then be able to associate them with your companies. To do this, you will first select a Business Object whose behavior you wish to modify (example: Activity).
Select CRUD Operator
After selecting the business object, you will then choose which operations you wish to modify. The basic operations available in the application are Create, Read, Update, Delete.
Assign Operator Permission
After selecting the CRUD operator, you will then select for whom you wish to apply the settings. Options include: All, Own, and None,which will be applied to the Permission Group + Business Object + CRUD Operator combination.

Assign Permission Group to Cloud User

Complete the following steps to assign a permission group to a cloud user:

  1. From the coresystems store homepage, click on the “Cloud Users” link.
  2. Search for the cloud user for whom you want to add a permission.
  3. Click on the user.
  4. Click on the dropdown list corresponding to your company in the “Linked Permission Groups” section.
  5. Chose the permission group you want to assign (example “technician”).
  6. Click on “Update”.

Once the changes are saved, you’ll be redirected to the “Cloud Users” page.


CRUD Operators

The permissions assigned in the Coresystems Store are for CRUD operators (Create, Read, Update, Delete) available in the application:

Operator Description
Create Enables users to create a new resource in the application. For example, applying Create permissions on Alerts for Own, you would enable users assigned to the permission group to creat their own alerts in the application.
Read Enables users to read resources in the application. For example, applying Read permissions on Approvalsfor Own, you would enable users assigned to the permission group** to read approvals if they have been defined as a decision maker.
Update Enables users to update existing resources in the application. For example, by applying Update permissions on Checklist for Own, you would enable users assigned to the permission group to update their own checklists.
Delete Enables users to delete existing resources in the application. For example, by applying Delete permissons on Quotations for None, you would prevent users assigned to the permission group from deleting quotations–even those they create themselves.
Note: Not all CRUD operators are available for every permissions setting.

Operation Permissions

When applying permission settings, there are three options available:

Option Description
All By selecting, the permissions settings will be available for all users associated with the given permission group. For example, if you applied Read on Attachments and assigned it to All, you would be able to read/view all attachments.
Own By selecting, the permissions settings (example Update on Activity) will be available for all users associated with the given permission group. For example, if you applied Update on Activity and assigned it to Own, you would be able to update your own activities.
None By selecting, the permissions settings (example Delete on Quotations) will be available for no users associated with the given permission group. For example, if you applied Delete on Quotations and assignted it to None, you would be unable to delete quotations.

  • Create Expense
    If you check this box, the users can create Expenses on Activities.*

    This checkbox defines whether “Checkout without report” (see above) is displayed on the UI.
